Branding
In the Branding section you define the appearance of every email this agent sends – logo, colours, font, footer and signatures – and you control unsubscribe compliance. The settings apply per agent (not company-wide): you can therefore store a separate branding for different locations or brands. You open the section from the agent configuration under "Branding".
The screen is split in two: the input fields on the left, and a live preview ("Live preview") on the right, which renders a real sample email after each change (with a short delay of approx. 0.4 seconds). This way you immediately see what your recipients will see.
Note on the view mode: At the top of the agent header there is a toggle "Simple" / "Advanced". In "Simple" mode (default), the email footer and the email signature are hidden so as not to overwhelm beginners. Switch to "Advanced" to show these two fields. All other fields (logo, colours, font, header title, SMS signature, unsubscribe link) are always visible.
Step by step
Step 1: Upload logo
- Under "Logo", click "Upload logo" and choose an image file. If a logo is already present, the button reads "Replace logo"; with "Remove" you delete it again.
- Permitted formats: PNG, JPEG, SVG or WebP. Maximum size: 200 KB (larger files are rejected with the message "File too large"). Recommended size: approx. 600 × 120 pixels.
- Recommendation: Use a transparent PNG. SVG is not displayed by Gmail (a broken-image icon appears there); if you want as many recipients as possible to see the logo, PNG is the safest choice.
- If you have already stored a logo in your company profile, the "Use company logo" button additionally appears – with it you adopt the company logo for this agent in a single click.
- Default: no logo (it displays "No logo").
Step 2: Set colours
Three colour fields, each as a colour picker and as a text input (6-digit hex code with a leading #, e.g. #E07A2C). Shortened codes such as #fff or colour names are not accepted.
- "Primary colour" – accent colour for buttons, links and the header tile. Default:
#E07A2C(Prezio orange). - "Text colour" – colour of the body text. Default:
#252525(dark grey). - "Background colour" – background of the email body. Default:
#FFFFFF(white). - Recommendation: Choose colours that work well in light mode, because Outlook and Gmail enforce their own backgrounds in dark mode anyway. Ensure sufficient contrast between text and background (guideline 4.5:1). The dashboard warns when contrast is weak, but does not block saving.
Step 3: Choose font
Selection field "Font" with three options:
- "Monospace (default)" –
mono, matches the Prezio look. This is the default. - "Sans-serif" –
sans, neutral system font. - "Serif" –
serif, traditional look (Georgia/Times), often used for classic B2B emails. - Recommendation: "Sans-serif" feels most familiar to most business customers; keep "Monospace" only if you like the technical Prezio style.
Step 4: Header title (optional)
- Field "Header title" – a single-line label next to the logo. Maximum 80 characters.
- Default: empty. If the field is left empty, the agent name is displayed automatically.
- Recommendation: Only fill this in if a different text than the agent name should appear (e.g. "Acme Customer Service").
Step 5: Email footer (only in "Advanced" mode)
- Field "Footer HTML" – an HTML block that appears beneath every email. Ideal for mandatory disclosures, postal address, legal notice or GDPR notices.
- Maximum 1500 characters (a counter shows the usage).
- Important – only these HTML tags survive saving:
p,br,a,strong,em,ul,ol,li,h3,span. For links (a), onlyhttp,httpsandmailtoaddresses are permitted. Scripts, images, embedded styles and all other tags are automatically removed when saving – this is a security mechanism, not a bug. - Default: empty.
- Recommendation: Store your legal mandatory disclosures here as simple paragraphs, e.g.
<p><strong>Acme GmbH</strong></p><p>Musterstraße 1, 10115 Berlin</p>.
Step 6: Signatures
Text that is automatically appended beneath every AI reply – separately for email and SMS.
- "Email signature" (only in "Advanced" mode) – appears between the AI reply and the footer. Maximum 500 characters. Default: empty.
- "SMS signature" (always visible) – is appended to every outgoing SMS. Maximum 80 characters. Default: empty (= no signature).
- Cost warning: One SMS comprises 160 characters per segment. The signature counts towards this. From 30 characters onwards the counter turns yellow and warns that the message may slip into a second segment and thereby double the cost.
- Recommendation: Keep the SMS signature very short, e.g.
— Acme Support. Leaving it empty is perfectly fine.
Step 7: Compliance – unsubscribe link
- Toggle "Enable unsubscribe link". When it is on, every outgoing email contains the standardised List-Unsubscribe header (RFC 8058) plus a visible unsubscribe link in the footer. This helps ensure your emails do not land in the spam folder.
- Default: enabled (on).
- Recommendation: Leave it switched on. Only turn it off in rare exceptional cases – for instance with purely transactional agents that recipients should not be able to unsubscribe from at all.
Step 8: Save or reset
- A bar sticks to the bottom edge with two actions. When there are unsaved changes, the notice "Unsaved changes" appears, and the "Save changes" button becomes active.
- "Reset to default" discards this agent's entire branding and restores the factory settings. An uploaded logo is deleted in the process. You must confirm the safety prompt.
Tips & pitfalls
- The preview is only an approximation. The live preview on the right shows a sample email with sample content. Individual mail clients – above all Outlook in dark mode – render colours and fonts slightly differently. For critical emails, do not rely on the preview alone, but send yourself a test email.
- SVG logos and Gmail do not get along. SVG works in Apple Mail and newer Outlook versions, but a broken-image icon appears in Gmail. When in doubt, use PNG.
- External logo URLs must be HTTPS. Instead of uploading, external image URLs can also be used (via the API), but these must without exception begin with
https://– mail clients blockhttpimages. - Logo upload saves immediately. A logo upload is saved directly (not only when you click "Save changes"). If you swap out a logo, the old one is deleted best-effort in the background – already sent emails keep their old logo.
- Footer HTML is trimmed. Do not be alarmed if parts of your footer HTML disappear after saving: anything outside the permitted tag list is removed deliberately. Use only the supported tags and everything is preserved.
- Hex input needs the full 6 digits. In the text field, a colour code is only adopted once it is recognised as a complete 6-digit hex value (
#plus 6 characters). Half-typed values are not yet applied – this is intentional. - Dark-mode backgrounds cannot be forced. In dark mode, Outlook and Gmail ignore your background colour and apply their own dark theme. Therefore choose a colour combination that looks clean in the light rendering.
- The SMS signature costs real money. Every additional character in the SMS signature can tip an otherwise single-segment message into two segments and thereby double the sending cost. Take the yellow warning at 30 characters seriously.
